QultureCare ("we", "us", "our") is committed to protecting your personal data. This policy explains what we collect, why, how we store it, and the rights you have over it. We follow the principles of the Indian Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 (DPDPA).

1. What we collect

When you use the QultureCare website and Practitioner Training Studio, we collect:

  • Lead capture form data — your name, email, phone number, designation, organisation, and experience level.
  • Session transcripts — the conversation you have with a simulated AI client during a practice session. These are processed by our AI to generate your feedback report and are not stored permanently.
  • Session metadata — duration of the session, the score and grade returned by the feedback engine, the badge you earned, which simulated persona you chose, and the date of the session.

2. Why we collect it

  • To deliver the service you asked for — generating a feedback report from your practice session.
  • To improve the quality of the Practitioner Training Studio.
  • To follow up with you about your interest in QultureCare's services, if you opted in.
  • To respond to your questions, requests, or support emails.

3. Session transcripts are not stored beyond the session

Your practice session transcripts are processed in real time to generate the feedback report you see at the end of the session. We do not retain the raw conversation text in a way that can be linked back to you. Once your session is complete and the report is generated, the transcript is removed from active storage.

4. We do not sell or share your data

The information you submit through the lead capture form is stored securely and is not shared with third parties for marketing, advertising, or any commercial purpose. The only people who can access it are members of the QultureCare team, on a need-to-know basis.

5. Where your data is stored

Your data is stored on secure cloud servers protected by industry-standard encryption (in transit and at rest), access controls, and regular security audits. We use trusted cloud infrastructure providers and only authorised QultureCare team members can access stored data.

6. Your rights

Under the DPDPA, 2023, you have the right to:

  • Ask us what personal data we hold about you.
  • Ask us to correct any inaccurate data.
  • Ask us to delete your data ("right to erasure").
  • Withdraw your consent at any time.
  • Lodge a complaint with the Data Protection Board of India if you believe your rights have been violated.

To exercise any of these rights, email us at hello@qulturecare.com. We will respond within a reasonable time frame, typically within 30 days.

7. Children

QultureCare's services are intended for professional adults (therapists, coaches, counsellors, working individuals, and organisational decision-makers). We do not knowingly collect data from anyone under 18 years of age.

8. Cookies and analytics

We use minimal cookies and analytics to understand how the site is used so we can improve it. We do not use third-party advertising trackers.

9. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.
